Bringing the Bay Area to Life for 2,000 Global Guests

When a Fortune 500 company brought nearly 2,000 attendees to the San Francisco Bay Area, the goal was bigger than producing a series of events.

The client wanted guests to experience the region in a way that felt connected, thoughtful, and memorable, from San Francisco to Napa, Sonoma, Marin, and beyond.

Over six days, Entire Destination Management, a division under Entire Productions, produced more than 65 events and experiences with a total program budget of more than $7 million. The scope included executive gatherings, receptions, private dinners, destination activities, transportation, guest communications, concierge services, staffing, signage, and on-site support.

However, the real challenge was not the number of events. It was making everything feel like one program with the city as the venue. 

One Partner for the Full Experience

Entire Destination Management was one of eight destination management companies invited to compete for the program.

The client originally planned to split the work between two DMCs, with one team managing daytime activities and another handling evening events. It was an approach they had used successfully in other markets.

After advancing to the final four, we earned the client’s confidence to manage the entire program.

Having one team oversee the full guest experience made it easier to connect the many moving parts. Transportation, staffing, programming, guest communications, and on-site logistics could all be planned together instead of separately.

That helped create a more consistent experience from the first arrival through the final event.

The Bay Area Became the Venue

We treated the Bay Area itself as the venue.

Rather than viewing the program as 65 separate events, we designed it as one journey through the region.

San Francisco brought its energy, architecture, food, waterfront, and history. Napa and Sonoma offered a change of pace and the warmth of Wine Country hospitality. Marin added outdoor experiences, coastal views, and a different perspective on the Bay Area.

Each destination offered something unique, but everything needed to feel connected.

The goal was to share the places we know and love while making the experience easy for guests to navigate.

Managing the Details Behind the Experience

A program of this size depends on thousands of details all coming together at the right time.

Behind the scenes, our team managed transportation routes, staffing schedules, guest rosters, venue capacities, dietary needs, signage, activity check-ins, weather plans, concierge requests, and last-minute changes.

The scale included:

  • More than 65 events and experiences

  • Approximately 2,000 attendees

  • Six days of programming

  • More than 50 guest experiences

  • 28 unique activities

  • 64 staffing personnel

  • More than 3,300 labor hours

Those numbers tell part of the story. The rest was in the guest experience.

Creating Access to the Bay Area

Throughout the week, guests sailed the San Francisco Bay, explored Alcatraz, discovered local architecture and culture, attended private dinners, visited Wine Country, joined wellness activities, and took part in curated networking experiences.

These were not meant to feel like standard tourist outings.

Each experience was selected and planned to give guests a closer connection to the destination. We worked with local chefs, guides, venues, artists, transportation teams, and hospitality partners to create experiences that felt personal and well considered.

Many of these moments offered access that guests would not typically be able to arrange on their own.

That was an important part of the program, but so was making guests feel supported throughout the week.

Clear communication, thoughtful signage, reliable transportation, and visible on-site staff made the experience feel easy, even when the logistics were highly complex.

A Program That Felt Personal

Entire Destination Management managed the destination experience from start to finish.

Our role covered corporate event production, destination management, private events, guest activities, transportation, staffing, concierge services, branded touchpoints, and on-site coordination.

Because our team was involved throughout the program, we could see how each decision affected the broader guest journey.

A transportation change could impact dinner timing. A weather shift could affect several activities. A guest request might require coordination across hotels, venues, and staffing teams.

Having one team at the center of the program made it possible to respond quickly and keep everything moving.

Sharing a Region We Love

For our team, this program was also personal.

The Bay Area is our home, and it was a privilege to share it with an international audience.

We wanted guests to experience more than the region’s best-known landmarks. We wanted them to feel its creativity, hospitality, diversity, and character.

The final program brought thousands of guests through dozens of experiences while still feeling thoughtful and personal.

It gave people the opportunity to connect with one another, explore the region, and leave with shared memories that extended far beyond the meetings themselves.
